Position: First Mate

Department: Patchwork Community Care PLLC

Reporting Structure: Reports to Wren George, PA-C at Patchwork Community Care

Job Status: Part-Time, 20 hours a week to start, potential to increase with increased patient volume

Role Overview

Job Purpose:

You’ll be the person to support the growth of Patchwork; the connection maker between patients, community organizations, Wren, and the practice.  Your job will be to help make operations run more smoothly.  This will include things like: Front desk work (emails, check-in/out, phone calls), filing patient documents, inventory, ordering supplies, potentially rooming patients, drawing and running labs (if you’re qualified), etc.

Duties and Requirements

Essential Responsibilities:

Administrative

  • Answers phones and calls patients/potential patients back
  • Checks patients in and out
  • Completes insurance verification through the electronic medical record
  • Collects patient payments
  • Processes incoming patient documents including patient records and referrals
  • Appropriately fields patient questions (schedules appointments, forwards messages to Wren, etc)
  • Tracks inventory and places orders when needed
  • Checks emails
  • Keeps space clean and organized
  • Protects patient privacy in and out of the office (follows HIPAA guidelines)
  • Other duties and responsibilities as they arise

Physical Work

  • Sign for, put away orders and organize inventory
  • Wipe off surfaces
  • Sweep/vacuum/mop
  • Water plants
  • Wash cups/mugs
  • Clean bathroom/exam room
  • Empties and takes out trash
  • Other duties and responsibilities as they arise

Medical Work

  • Take patients’ vital signs
  • Complete intake with patients
  • File patient records/labs appropriately
  • Complete point-of-care testings (training provided)
  • Follows Blood borne pathogens and OSHA guidelines
  • Complete quality control testing on lab machines (training provided)
  • Draw labs (willing to get certified to draw blood, Patchwork would cover cost of training)
  • Other duties and responsibilities as they arise

Qualifications

Required Qualifications:

  • Legally permitted to work in the United States
  • GED/HSE
  • Pass a state and federal background check.  If you’re not sure, check here for convictions that would exclude you from being able to work in a healthcare field: https://www.ncdhhs.gov/documents/files/cds-backgroundcheckpolicy/open Patchwork will cover the cost of these background checks.
  • Able to abide by HIPAA rules and guidelines (training provided)
  • Able to abide by blood borne pathogens and OSHA guidelines (training provided)
  • Willing to get CPR and AED certified (Patchwork will cover the cost of this training)
  • Willing to get medical assistant/phlebotomy certified (Patchwork will cover the cost of this training after 90 days of employment with an agreement of commitment to continued 6-12 months of employment with Patchwork after certification is complete, depending on certification)
  • Provide vaccination record or willing to complete needed vaccines and testing including:
    • MMR
    • Varicella
    • Hepatitis B
    • Tdap
    • Annual Influenza
    • Covid-19
    • TB testing
  • Proficient in basic computer skills such as: Google Sheets and Docs, email
  • Self-starter, independently able to organize and prioritize tasks
  • Willingness to learn and grow with Patchwork
  • Community-minded
  • Silly, fun, and willing to tolerate Wren’s eccentricities (vocal stims and dances)
  • Excellent communication skills in both writing and speaking
  • Enjoy working in a fast-paced environment
  • Able to hold strong boundaries between work and life and boundaries with patients and community members
  • Reliable: able to show up for work on time daily – this is important because it’s just you and me kid!!
  • Willing to wear a high quality mask whenever a patient is wearing a mask
  • Culturally competent with queer and trans community members/patients and neurodivergent community members/patients
  • Non-judgemental with community members/patients who use substances

  • Able to lift 15 lbs, bend down, and reach overhead.

Preferred Qualifications:

  • Some form of higher education: Associate’s degree, bachelor’s degree, etc
  • Certified Medical Assistant or Phlebotomist or Certified Nursing Assistant
  • Experience in the medical field
  • Some form of customer service work
  • CPR Certified
  • Loves a spreadsheet and organizational systems
  • Experience with an electronic medical record system, ideally Athena
  • Bilingual in English and Spanish

Compensation and Environment

Salary and Benefits:

  • $24.10 per hour (this is Asheville’s Living Wage currently)  If this number increases, your hourly rate will automatically increase.
    • If I am able to take this employee on for additional hours beyond 20 hours/week (which would be the goal), discussions regarding PTO will happen at that time.
    • FICA (Social Security and Medicare) will be matched as per state law, as this position is as an employee of Patchwork, not a contracted position.
    • It’s important to me that I am able to pay an employee living wage, and I’d love to be able to hire someone full-time, but the business can’t support that yet. In full transparency (which I believe is important), you’ll be making much more hourly than I (Wren) am currently paying myself. I don’t believe this is your problem, so I am committed to paying a living wage, and I hope the person I select will be able to grow with Patchwork. I want to invest in your growth as you invest in the growth of Patchwork and this work in the community. I want to grow a sustainable business and part of that is being able to afford to pay someone a living wage.
  • HIPAA training, Blood Borne Pathogens Training, CPR training (if needed), and OSHA training will all be provided.

We are about 1.5 blocks off the bus line in Hendersonville and close to downtown.  There is a parking lot available for parking your vehicle.

This work will be fast-paced and collaborative.  You will be working directly with patients, community members, and Wren.  The work will never be “done.”  There will always be something to do, so if you enjoy downtime at work, this position won’t be a good fit for you.  In additional to medical and administrative work, you may be unpacking boxes occasionally, helping with plant watering, sweeping, washing cups/mugs, stocking items, wiping down surfaces, and cleaning the bathroom and exam room, so being able to lift 15 lbs and move your body is important for this work.
